AI & Workflow Automation

Stop paying people to copy and paste

Most automation projects fail because they automate the wrong thing. So we start with an audit that tells you where your hours actually go — then build only the workflows that pay for themselves, on n8n.

The AI Automation Audit

Before anyone builds anything, you need to know which parts of your business are actually worth automating — and which would cost more to automate than to keep doing.

Why start with an audit

The usual failure looks like this: someone automates the workflow that's annoying rather than the one that's expensive. Six weeks later there's a fragile robot doing a job that took twenty minutes a month, and the three-day reconciliation is still being done by hand.

The audit exists to stop that. We sit with the people doing the work, map what actually happens (not what the process document says), and put a number on it.

  • Where the hours go. Every recurring manual task, timed and costed — usually the first surprise.
  • Ranked by payback. Effort against impact, so you can see what to do first and what to leave.
  • An explicit "don't" list. The tasks where a human should stay in the loop, and why.
  • Yours to take elsewhere. The report is useful even if you never hire us to build a thing.
What lands on your desk

A ranked shortlist, not a slide deck

1 Month-end reconciliation~3 days/month · high impact · low effort Do it
2 Report distribution~6 hrs/month · medium impact · low effort Do it
3 Invoice data capture~4 hrs/week · high impact · medium effort Phase 2
4 Quote approvals~2 hrs/month · low impact · high effort Leave it

Illustrative — the shape of the output, not real client data.

In-House

What we've built for ourselves

We run our own business on this stuff. It's the fastest way to be honest about what automation is and isn't good at.

Our own chatbot

Answers questions about the course and our services, qualifies the enquiry, and books a call — without a human touching it until there's something worth a human's time. Built on n8n with a retrieval step over our own content, so it quotes what we actually offer rather than inventing it.

Built in-house

Automated dashboard creator

Drop a raw export into a folder and a formatted dashboard comes back — cleaned, pivoted, charted and branded. It’s most of our own course — cleaning, pivoting, charting — running unattended. What used to be a morning is now a file drop.

Built in-house

Enquiry routing & follow-up

Enquiries get classified, logged, and answered with the right information for what was actually asked — course dates, a build quote, or a straight referral elsewhere if we're not the right fit. Nothing sits in an inbox over a weekend.

For Your Business

The usual suspects

The workflows that come up most often in audits. If yours isn't here, it's still worth asking — most of this work is bespoke anyway.

Report distribution

The Monday pack builds itself and lands in the right inboxes before anyone's at their desk.

Document data capture

Invoices, delivery notes, applications — read by AI, checked against your records, exceptions flagged.

System-to-system sync

Two systems that should agree and never do. Kept in step without a person in the middle.

Alerts & monitoring

Stock about to run out, an SLA about to breach, a payment overdue — you hear about it first.

Lead capture → CRM

Enquiries land, get enriched and routed to the right person, with nothing lost to a spam folder.

Document generation

Quotes, contracts and onboarding packs assembled from your data, branded and sent for signature.

Chatbots & assistants

On your site, WhatsApp or internally — answering from your documents, not from thin air.

Approval workflows

Requests routed by rule, chased if they stall, with an audit trail you can actually show someone.

How An Automation Gets Built

Audit first, build second

1 · Audit

Map the work, time it, cost it. You get a ranked shortlist — including what to leave alone.

2 · Pilot one

We build the top item first, on its own. It proves the value before you commit to more.

3 · Watch it

It runs alongside the manual process until it's earned trust. Failures alert a human, always.

4 · Hand over

Workflows documented, running in your own n8n. You can edit them, or we'll maintain them.

Where we keep a human in the loop

Anything that spends money, signs something, or talks to a customer without review gets a checkpoint. AI is very good at reading an invoice and very bad at knowing when it's being lied to. The audit is explicit about which is which.

Automation only pays if the data's clean

A workflow built on a messy export just makes bad numbers faster. If your data's the real problem, start there instead — we'll say so.
